Position Summary: Under general supervision, but in accordance with established policies and procedures, the Mortgage Closing Representative & Processor is a hybrid role responsible primarily for managing and executing the loan closing process while also providing support to loan processing functions as business needs require. This individual will ensure loan files are closed accurately, efficiently, and in compliance with all regulatory and investor requirements. During periods of increased volume or staffing needs in processing, this role will assist in preparing and managing loan files through the processing cycle.
Essential Functions:
- Consistently provides superior, professional service to internal and external customers.
- Consistently meet expectations of teamwork, punctuality, and regular, reliable attendance.
- Prepare and review closing packages to ensure accuracy, completeness, and compliance with regulatory and company guidelines and secondary market requirements.
- Coordinate closing schedules with borrowers, attorneys, and internal team members.
- Very that all closing conditions have been satisfied prior to scheduling a closing.
- Prepare and review Closing Disclosures (CDs) for accuracy and compliance with TRID and TRID timelines.
- Balance loan files and confirm all fees, payoffs, and disbursements are correct.
- Ensure timely and accurate funding of closed loans including proper recording with the Registry of Deeds.
- Maintain communication with internal departments to resolve closing-related issues.
- Assists with selling loans to Freddie Mac.
- Follows up on missing documentation.
- Prepares loan reports upon request.
- Assists with maintaining closing procedures and checklist.
- Review loan applications and documentation for completeness and accuracy.
- Order third-party reports (AUS, appraisal, credit, flood, etc.) and analyzes AUS report findings.
- Collect and analyze borrower financial documentation (income, assets, credit, etc.) according to Freddie Mac guidelines.
- Communicate with borrowers, loan officers, and third parties to gather required documentation.
- Prepare and review initial and revised Loan Estimate for accuracy and compliance with TRID and TRID timelines.
- Maintain accurate and up-to-date status in the loan origination system (LOS) and monitor key timelines to support timely closing of loans.
- Submit loan files to underwriting and assist in clearing missing documentation.
- Prepare adverse action notice for loans denied within the first three days of application and ensure all documentation is properly uploaded/stored in the loan file.
- Withdraw loan files according to internal procedures and ensure all documentation is properly uploaded/stored in the loan file.
- Ensure compliance with all regulatory guidelines and company policies throughout the process.
- Responds to internal and external audit reviews.

Education, Experience, and Skills Required:
The following skills, experience, or background are necessary (with or without accommodation) for this position.
- High school diploma or GED, plus real estate or CFT courses.
- Minimum of 2-3 years prior banking experience. Previous mortgage processing experience preferred. Previous Encompass experience preferred.
- Knowledge of TRID, and general mortgage compliance.
- Proficiency with MS Office and Automated Underwriting System (AUS) are desired.
- Strong attention to detail and ability to manage multiple files simultaneously.
- Excellent organizational and time management skills.
- Effective communication and problem-solving skills.
- Demonstrate ability to adapt quickly and transition between closing and processing functions.
